Administration Coordinator

We are looking for a proactive, reliable Administrative Coordinator to join our team.
What you'll do: You will sit at the center of our national operations, supporting our warehouse and transport functions across NSW, VIC, QLD, and WA. Reporting to our Operations Manager, you will be a core part of a small, fast-moving team where your work is truly valued.
Day to day, you will:
- Be the friendly, professional voice for our customers: Manage daily communication and ensure they have a CHILL experience every time they reach out.
- Coordinate administration tasks across multiple sites and teams.
- Keep compliance documentation accurate and up to date.
- Prepare basic reports and maintain operational trackers.
- Follow up on outstanding actions with the team so nothing slips.
- Make sure the right people have the right information at the right time.
What we are looking for: You don't need to know cold chain logistics. You just need to care about doing things right. We want someone who is highly organised, has a sharp eye for detail, and is confident communicating with different teams.
You're organised in a way other people aren't — not because you have a system, but because you think that way. Details don't exhaust you, they satisfy you. You manage up without being asked: you brief people before they need to ask, flag problems early, and arrive with a suggested solution.
You'll be a strong fit if you have:
- 3–5 years in a fast-moving administrative or coordination role
- Confidence across Google Workspace and Excel
- The ability to pick up new systems quickly
- A background in operations, logistics, or compliance admin — a genuine advantage, but not a dealbreaker
