Key Responsibilities
- Coordinate and manage customer orders from order intake through to contract fulfillment, ensuring compliance with contractual scope, delivery schedules, and cost requirements.
- Liaise with internal stakeholders (Sales, Sales Engineering, Finance, Aftersales, Logistics), factories, suppliers, and customers to ensure smooth order execution.
- Support payment administration, including down payments, milestone payments, Letters of Credit (LC), Bank Guarantees, and Performance Guarantees in accordance with contractual terms.
- Manage SAP transactions, including creation of batch and serial numbers, and perform Goods Receipt (GR) activities for incoming products and third-party purchases.
- Coordinate shipment arrangements, including shipping instructions, vessel bookings, Bills of Lading, and delivery documentation.
- Monitor payment collection prior to delivery and follow up with customers.
- Verify delivery notes, supplier invoices, freight invoices, and shipment documentation for accuracy and completeness.
- Coordinate with warehouses, factories, and freight forwarders on inbound and outbound logistics activities.
- Manage engine accessories deliverables, resolve shipment discrepancies, and coordinate post-delivery claims for shortages, missing parts, or damages.
- Prepare and compile LC documentation and support Finance in submission and compliance requirements.
- Maintain accurate records and documentation throughout the order fulfillment process.
- Undertake ad-hoc projects and assignments assigned.
Position qualifications:
- Bachelor's degree in Business Administration or a related discipline.
- At least 3 years of experience in order management, order fulfillment or project execution within an engineered solutions business environment.
- Prior experience in the diesel engine, generator or data center backup power industry is an advantage.
- Strong team player with excellent interpersonal, written and verbal communication skills.
- Good understanding of Asian business cultures, regional practices and customer service principles.
- Ability to work effectively under pressure, manage challenging situations and take ownership of order management responsibilities.
- Highly organized and capable of managing multiple priorities and projects simultaneously.
- Resourceful, proactive and able to adapt quickly to changing business needs.
- Strong project tracking skills with the ability to stay informed and updated on project progress at all times.
- Working knowledge of SAP Sales & Distribution (SD) module, Import/Export shipping processes, logistics operations, Incoterms and Letter of Credit (LC) administration.
- Proficient in Microsoft Office applications, particularly Excel, Word and PowerPoint.
- Detail-oriented with a high level of professionalism, accuracy and accountability.
