
Project Coordinator - Medical Communications
Role Summary
- Responsibilities: You will oversee a range of project coordination, administrative and scientific tasks that support the delivery of high-quality Medical Communications projects, as well as contribute to company and team initiatives
- Salary: £35,000 per annum

- Location: This role is available in our Global Headquarters in Cambridge, as well as our London, Manchester, and Bristol offices
About the Role
In this role, you will play a key part in the successful delivery of Medical Communications projects, providing project coordination, scientific and administrative support to our teams. In a typical week, you will oversee project activities, collaborate with internal and external stakeholders, identify opportunities to improve processes, and help drive quality and efficiency across the team and company.
You will work on projects across our Publications and Medical Affairsteams, with the exact focus of your work depending on project needs.
Key responsibilities will include:
- Day-to-day coordination of projects and teams, including monitoring timelines, scheduling meetings, coordinating agendas and minutes, and maintaining planning tools to support the timely delivery of high-quality work
- Assisting Project Managers with project proposals and oversight, as well as stakeholder communication, project tracking and reporting, financial administration, and the delivery of high levels of service to clients and other stakeholders
- Supporting the development and quality control of Medical Communications materials and activities, including formatting and consistency reviews, accurate referencing of scientific materials, screening records for relevance to research questions, preparation of documents in line with client and submission requirements, and liaison with our Creative team on the development of visual assets
- Managing project compliance activities, including the preparation of compliance documentation, supporting copy-review processes, liaison with client compliance teams, acting as a key point of contact for compliance-related queries, and supporting project teams in adhering to relevant industry guidelines and requirements
- Coordinating logistics and providing project support for both in-person and virtual events and meetings, for example congresses, symposiums and advisory boards
- Liaising with external suppliers, including translation agencies, as well as digital and marketing agencies and other consultancies

Medical Writers conduct detailed analyses of scientific data and create a variety of materials that are presented to, and used by, our clients. On the other hand, Project Coordinators use their scientific knowledge to offer project management and administrative support to project teams, enabling the timely delivery of high-quality work. Additionally, Project Coordinators work with senior colleagues within their team to carry out internal administrative tasks, developing and improving processes to maximise efficiency.

About You
Essential requirements for the role are:
- A degree-level or equivalent qualification in a scientific discipline (minimum 2.1 or equivalent). Postgraduate qualifications would be an advantage, but they are not an essential requirement for the role. We welcome applications from candidates with a diverse range of specialisms, including but not limited to; Biology, Chemistry, Pharmacy, Biomedical Sciences, Global Health, Epidemiology, Biochemistry, and Medicine
- A flair for, and attention to, detail
- Exceptional written English and verbal communication skills, which you will use when preparing project materials, corresponding with clients and colleagues, and contributing to discussions across project teams
- Excellent organisational and time management skills, with the ability to manage competing priorities, respond to conflicting deadlines, and work independently in a fast-paced environment
- A collaborative approach to working across project teams, sharing knowledge and contributing to common objectives
- A commitment to delivering excellent customer service to both internal and external stakeholders
- Integrity, honesty, and transparency in your interactions with colleagues and stakeholders
- A proactive and enthusiastic approach to your work, with a genuine interest in healthcare, a willingness to take ownership of your responsibilities, and a commitment to ongoing learning and development
- The initiative to identify opportunities to improve processes and enhance the service we offer
- A good knowledge of Microsoft Office, alongside the ability to quickly learn and effectively use new software, systems and tools
