Executive Assistant to the Directors

Netcalibre LtdLondon, United KingdomPosted 2h agohybrid

One thing to know before you apply: we're doing this one a little differently. No CV needed. More on that at the bottom.

Netcalibre is a privately owned ISP and MSP on Fleet Street. There are three of us who own and run the business, and between us we cover sales, engineering, projects and everything else that comes with a growing company. We've gone from 4 to 12 people in three years, and it's a busy, friendly place to work. As the business grows, so do our diaries, and we'd love to find an experienced Executive Assistant to help us stay on top of it all. This is a new role, so you'll have a real say in how it takes shape.

Your job, in a sentence: give the three of us our time back, so we can focus on the things only we can do. Everything below is in service of that.

  • Inbox management: filtering what needs our attention, replying on our behalf where you can, flagging what can't wait
  • Diary management: running our calendars and protecting time for the work that matters
  • Business admin and executive support: travel booking, meeting preparation, chasing suppliers, keeping paperwork moving
  • Some personal admin for the three of us as well, the everyday life stuff that's easy to let slip when work gets busy: booking appointments, chasing renewals, that sort of thing
  • Getting to know how each of us works so you can make sensible calls on what's urgent, what can wait, and what we never need to see
  • Keeping the office itself ticking over: supplies, the odd social, a bit of HR paperwork, so nobody else has to think about it

Supporting three people rather than one keeps things interesting. Sometimes we'll all want something at once, and part of the fun is working out what wins, or simply asking us. You'll work with all three of us day to day, with one director as your line manager for the usual things like reviews and holiday. If you've done this before, you'll know exactly what we mean, and if you haven't, we'll figure out the rhythm together.

We're looking for someone who has done this kind of work before: supporting directors, business owners or senior managers as an Executive Assistant, PA or similar, and comfortable being trusted with a lot. Beyond being organised, this role runs on judgement: knowing what matters, keeping what you see to yourself, and writing well enough that a reply from you sounds like a reply from us. If you've supported more than one person at a time, you'll settle in quickly here.

It's a role built on trust. You'll have access to our inboxes, our diaries and bits of our personal lives, so discretion comes with the territory. In return, you'll be trusted to get on with things your own way.

How applying works

We're not asking for a CV. This role is about how you communicate, how you organise your thinking, and how you come across, and five minutes of you talking tells us far more than two pages of bullet points ever could.

So instead, once you've applied, we'll send you a link to record a short video introduction. A few questions, nothing scripted, no trick questions. You can record it on your phone or laptop whenever suits you over the next few days, and you'll see each question before you answer. We're not judging lighting, backgrounds or polish. We just want to meet you a bit before we meet you properly.

If the video goes well, you'll come in and spend some time with the three of us.

  • £35,000–£45,000 depending on experience
  • 28 days holiday including bank holidays, plus your birthday off
  • Mostly based in our Fleet Street office, as this role really thrives in person, with flexibility once you're settled in
  • Standard office hours. Once in a while something urgent crops up outside them, but that's the rare exception, not the routine
  • Home internet allowance after probation
  • Company laptop, workplace pension
  • Bi-weekly 1-to-1s with one of the owners. Real conversations about how it's going, feedback both ways
  • Paid training where it makes sense
  • We promote from within. If this role grows into office management or operations over time, we'll back you
