We are seeking an organised and customer focused Helpdesk Coordinator to join our Operations team and play a key role in ensuring the effective delivery of reactive and planned maintenance services across our contracts.
This is an exciting opportunity for a proactive individual who enjoys working in a fast paced environment, coordinating multiple priorities and supporting operational teams to deliver excellent service to our clients.
Key Requirements
- Experience in a helpdesk, scheduling, coordination or administration role, ideally within a facilities management environment.
- Excellent communication and customer service skills, with the ability to build positive working relationships with a range of stakeholders.
- Strong organisational skills and the ability to manage multiple priorities and deadlines simultaneously.
- Good IT skills, including Microsoft Office applications and experience working with CAFM systems.
- A proactive and detail-focused approach, with a commitment to maintaining accurate records and delivering high-quality service.
About the Role
Reporting to the Helpdesk Supervisor/Manager, the Helpdesk Coordinator will be responsible for coordinating, assigning and scheduling maintenance activities for both in-house engineers and specialist subcontractors through our CAFM system.
You will act as a central point of contact for reactive maintenance requests, ensuring jobs are correctly prioritised, allocated and progressed in line with contractual service levels. The role requires close monitoring of works in progress, regular communication with operational teams and contractors, and accurate management of information within the CAFM system.
You will support the wider Operations team through scheduling activities, managing documentation, raising purchase orders, arranging quotations and assisting with reporting requirements. In addition, you will play an important role in supporting compliance processes, ensuring subcontractor documentation is in place and helping to maintain high standards of health, safety and operational performance.
About You
You are a highly organised and proactive coordinator who thrives in a busy operational environment. You are comfortable managing competing priorities, responding to changing demands and maintaining attention to detail under pressure.
You possess excellent communication skills and understand the importance of delivering outstanding customer service. Whether liaising with engineers, contractors, clients or colleagues, you build positive working relationships and take pride in providing efficient and professional support.
Ideally, you will have experience within facilities management, healthcare or a PFI environment and have worked with CAFM systems. However, we are equally interested in hearing from candidates with strong coordination and administration experience who are keen to develop their career within the FM sector.
