Senior Executive/Assistant Manager - Procurement
Messe Muenchen India is the Indian subsidiary of Messe München, a global trade fair organizer. Working at the intersection of events and business operations, the team supports complex, high-visibility activities that rely on strong coordination, timely execution, and dependable partner management.
In this role, you will help drive procurement operations that support business-critical activities across the organization. This is an opportunity to contribute to sourcing and vendor management processes that keep internal teams aligned, suppliers engaged, and commercial documentation accurate and on track. You will work closely with stakeholders across functions while supporting efficient procurement practices and consistent operational standards.
Responsibilities
- Manage RFQs/RFPs for assigned procurement requirements and validate the completeness of requirements before initiating the sourcing process.
- Solicit competitive commercial offers from qualified suppliers while adhering to defined timelines.
- Prepare quotation comparison statements and commercial evaluations.
- Support negotiations with suppliers to achieve competitive commercial outcomes.
- Prepare and issue PO/WO to suppliers.
- Coordinate contract/agreement creation and ensure timely closure of documentation.
- Act as the point of contact for supplier invoicing, including internal approvals, submission to finance, and payment follow-up.
- Undertake supplier identification, prequalification, and onboarding processes.
- Follow up on delivery, quality, service, and closure of commercial issues.
- Coordinate with Operations, Marketing, Finance, Legal, and other internal stakeholders.
- Act as the first level of contact for suppliers and escalate commercial, operational, or supplier issues to the Procurement Manager when needed.
- Maintain PR trackers, RFQ/RFP pipelines, open POs, and related records.
- Maintain accurate procurement documentation and audit trails.
- Ensure compliance with procurement policy and SOPs.
- Follow defined sourcing and approval processes as per delegation of authority.
- Support implementation of procurement tools, templates, and standardization.
3. Candidate Profile
- Experience: Approximately 3-5 years of relevant procurement and sourcing experience managing multiple suppliers and requirements.
- Technical Skills: Strong proficiency in MS Office 365 and working knowledge of SAP.
- Stakeholder Management: Experience coordinating with suppliers and internal stakeholders including finance, legal, operations, and marketing.
