Procurement Assistant (22.5 hours p/w)

We are looking for a proactive and dependable Procurement Administrator to join us, providing essential administrative and practical support to the Procurement Team and the wider business. In this varied and important role, you will help ensure that procurement activity runs smoothly, compliantly and efficiently - playing a key part in supporting the delivery of value for money services that make a real difference to our residents and communities.

We own and manage c.8,000 homes in the east of England, working closely with other agencies and stakeholders within our communities. We build on the good foundations we have in place in being a customer-centric organisation, investing in our existing homes - including our zero-carbon journey - as well as building new homes.

Outline of key responsibilities...

  • Support procurement activity in line with relevant legislation, policies and procedures, ensuring all activity is compliant, well organised and delivered efficiently
  • Administer tender and quotation processes from end to end, including documentation, communications, records and timelines
  • Maintain accurate and audit-ready procurement records, registers, trackers, policies and templates, ensuring information is always current and accessible
  • Act as a first point of contact for routine procurement enquiries, managing shared inboxes and providing prompt, helpful responses to colleagues, suppliers and stakeholders
  • Maintain contract information including key dates, supplier details, KPIs, SLAs and supporting documentation, flagging any upcoming renewals or risks as required
  • Support Section 20 consultation activity, including the preparation of notices, management of correspondence and queries, and accurate record keeping throughout the process
  • Administer supplier onboarding and maintain accurate and up to date supplier information across relevant systems
  • Support the administration of procurement and purchasing systems, including user access management and routine system administration tasks

We are looking for someone who has...

  • Proven experience of providing administrative support within a busy office or business environment, with the ability to hit the ground running and contribute from day one
  • Experience of maintaining accurate records, trackers, documents and databases, with a strong commitment to data quality and audit readiness
  • Experience of managing shared inboxes and responding to routine enquiries in a timely, professional and helpful manner
  • Strong organisational skills and the ability to manage competing tasks and deadlines effectively, remaining calm and focused in a fast-paced environment
  • Excellent attention to detail and accuracy, with clear and professional written and verbal communication skills that enable effective liaison with colleagues, suppliers and stakeholders at all levels
  • The ability to handle confidential, commercially sensitive and personal information with discretion and in line with relevant policies and procedures

  • An annual salary of £16,750.34 (part-time, based on 22.5 hours per week, FTE £27,545)
