- Issue reminders, follow up overdue actions and escalate missing, inconsistent or high-priority items within required timeframes.
- Coordinate security clearance activities, including applications, sponsorships, reviews, expiries, changes of circumstance and overseas travel requirements.
- Coordinate security inductions, departures and travel briefings, ensuring required acknowledgements and evidence are completed and retained.
- Administer mandatory risk, compliance, policy, health and safety and security learning through Moodle, including allocations, monitoring, reporting and follow-up.
- Maintain training calendars, attendance records, approved materials and quick reference guides, ensuring resources remain current and accessible.
- Maintain security access records for cards, keys, combinations, security containers and temporary access, coordinating issue, returns, reviews, census and muster activities.
- Administer incidents, breaches, hazards, complaints, control failures and WorkCover matters, supporting investigations, corrective actions and appropriate escalation.
- Maintain the controlled policy and procedure library, coordinating reviews, approvals, publication, acknowledgements, version control and archiving.
- Coordinate audits, certifications and client reviews, maintaining the assurance calendar and preparing required evidence and documentation.
- Compile information for dashboards, committee packs and recurring reports, ensuring accurate and timely submissions.
- Maintain evidence indexes and audit trails, ensuring records are complete, traceable, appropriately controlled and review-ready.
- Conduct regular data-quality checks, identifying gaps, inconsistencies, delays and exceptions and escalating material issues appropriately.
What you'll bring:
- Experience maintaining risk, compliance, incident, audit, training, security clearance, access, policy and assurance records.
- Working knowledge of administrative controls across risk, compliance, security, health and safety, assurance and governance environments.
- Strong coordination, organisation and follow-through skills, with the ability to manage recurring daily, weekly, monthly and event-based activities.
- High attention to detail and accuracy when managing records, evidence, deadlines and sensitive information.
- Ability to prepare audit-ready evidence, maintain action trackers and support reporting, assurance and compliance activities.
- Strong written and verbal communication skills, with confidence following up employees, managers and external stakeholders.
- Ability to identify gaps, inconsistencies, overdue actions and missing information and escalate appropriately.
- Experience working with systems such as Moodle, registers, controlled document libraries, evidence indexes, action trackers and reporting packs.
- Reliable and service-oriented, with sound judgement around confidentiality, escalation and authorised decision-making.
