Are you an organised and customer-focused administrator who enjoys working in a busy healthcare environment and supporting clinical teams?

We are looking for a Clinical Administrator to join the Northeast Community Services Team within Older Persons Health & Rehabilitation. This role provides essential administrative and support services to clinicians, referrers, clients, and other services across the division.

You will be an important part of the team, ensuring referrals, patient information, communications, and administrative processes are managed efficiently and accurately to support timely access to care.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4 (final placement step is dependent on skills, knowledge and experience)

About the Role

Your responsibilities will include:

  • Providing professional, friendly, and responsive administrative support to patients, clients, staff, referrers, and other stakeholders.
  • Managing telephone and email enquiries, identifying needs, prioritising requests, and directing enquiries to the appropriate team member.
  • Processing referrals received through the Adult Community Referral Centre in a timely and accurate manner.
  • Monitoring shared email accounts and ensuring information and workflow is actioned and distributed appropriately.
  • Maintaining accurate patient information and records within Health Connect South and other relevant systems.
  • Completing accurate data entry and maintaining patient management systems such as SI PICS.
  • Maintaining referral, clinician visit, patient contact, consent, and disclosure information.
  • Updating waitlist and data integrity information as required.
  • Preparing agendas, taking minutes, and distributing meeting documentation.
  • Supporting clinicians with general administration, forms, templates, and shared resources.
  • Ordering stationery and coordinating maintenance of office equipment.
  • Managing incoming and outgoing mail, photocopying, and other general administrative duties.
  • Maintaining confidentiality and ensuring information is handled appropriately in accordance with the Privacy Act.
  • Working collaboratively with the clinical team to ensure an efficient and responsive service.

About You

We are looking for an experienced administrator who is organised, reliable, and confident working in a complex environment. You will have a strong customer service focus and the ability to manage competing priorities while maintaining a high level of accuracy.

You will bring:

  • Experience working as an administrator within a complex organisation.
  • Strong computer skills, including accurate data entry and confidence using Microsoft Word, Excel, and Teams.
  • Excellent written and verbal communication skills.
  • Strong organisational and time-management skills.
  • The ability to prioritise workload and meet deadlines.
  • A proactive and solutions-focused approach.
  • The ability to work effectively both independently and as part of a team.
  • A commitment to confidentiality, professionalism, and high-quality customer service.
  • A commitment to developing your understanding of Te Tiriti o Waitangi and Māori and other cultural considerations within Older Persons Health.

Desirable

  • Previous experience working in healthcare, particularly community health services.
  • Experience using patient management systems such as Health Connect South or SI PICS.
  • Experience supporting clinical or multidisciplinary teams.
