Who You Are
The Coordinator, People & Culture provides comprehensive administrative and operational support throughout the employee lifecycle. This role partners closely with People & Culture, Talent Acquisition, Service Delivery, Resource Management, and business leaders to support recruitment, onboarding, employee relations, compliance, and operations. The coordinator plays a key role in fostering positive employee experience while ensuring compliance with company policies and applicable employment legislation.
What You Will Do
Talent Acquisition, Onboarding & Offboarding
- Coordinate end-to-end recruitment activities, including posting job openings, scheduling interviews, coordinating candidate communications, and preparing offer letters.
- Conduct reference checks, background verifications, and pre-employment documentation.
- Maintain applicant tracking systems (ATS) and recruitment records.
- Support hiring managers throughout the recruitment process.
- Coordinate onboarding and orientation programs for employees, consultants, contractors, and interns.
- Prepare employment contracts, onboarding packages, and new hire documentation.
- Collaborate with IT, Facilities, and hiring managers to ensure equipment, system access, and workspace are ready before the employee’s start date.
- Coordinate offboarding activities, including exit documentation, recovery of company assets, and system access removal.
- Ensure all onboarding and offboarding processes are completed accurately and within established timelines.
HR Administration, Payroll & Benefits
- Maintain accurate and confidential employee records within the Human Resources Information System (HRIS).
- Prepare employment verification letters, confirmation letters, contract amendments, promotion letters, and other employment-related documentation.
- Process employee status changes, compensation updates, transfers, organizational changes, and employee data maintenance.
- Generate HR reports and workforce metrics to support business decisions.
- Maintain personnel files in accordance with company policies and legal requirements.
- Support HR system audits and continuous process improvements.
- Coordinate payroll-related employee data changes.
- Assist with benefits enrollment, changes, and employee inquiries.
- Track leaves of absence and maintain related documentation.
- Liaise with payroll providers and benefit vendors to ensure timely resolution of employee issues.
Employee Relations, Engagement & Culture
- Serve as a point of contact for employee HR-related inquiries.
- Provide guidance on company policies, benefits, leave programs, and HR procedures.
- Support managers with employee lifecycle activities and HR documentation.
- Escalate complex employee relations matters to the HR Business Partner or People & Culture Manager as appropriate.
- Coordinate employee engagement initiatives, recognition programs, wellness activities, and company events.
- Support learning and development initiatives and mandatory training programs.
- Assist with employee surveys and engagement action plans.
- Promote an inclusive, collaborative, and positive workplace culture.
Compliance
- Ensure compliance with employment standards, occupational health and safety legislation, privacy requirements, and internal policies.
- Maintain accurate HR documentation for internal and external audits.
- Coordinate mandatory compliance training and policy acknowledgements.
- Support work authorization documentation, where applicable.
Qualifications
- Diploma or bachelor’s degree in human resources, business administration, or a related field.
- CHRP designation or working toward certification is considered an asset.
- 2–5 years of experience in Human Resources, preferably within an MSP, IT services, technology, or consulting environment.
- Knowledge of Ontario employment legislation and HR best practices.
- Experience using HRIS systems (e.g., Workable, Humi, BambooHR, or similar).
- Proficiency with Microsoft 365 (Word, Excel, Outlook, Teams).
- Strong organizational, communication, and interpersonal skills.
- Ability to manage multiple priorities in a fast-paced environment while maintaining confidentiality and attention to detail.
- Experience supporting contingent workforce management, staffing agencies, and client compliance requirements is considered an asset.
