Department of Internal Affairs (DIA), Te Tari Taiwhenua plays a central role in New Zealand's public service delivery, supporting communities, government, and democracy through a broad range of services and functions.
Ministerial Services (MS), within the Partnerships and Commissions branch, is responsible for ensuring Ministers are supported to effectively carry out their responsibilities. As a significant employer on the Parliamentary Precinct, MS manages Ministerial Office employment arrangements and supports positive workplace culture and employee wellbeing.
About the Role
Following the General Election 2026, Ministerial Services will deliver a large-scale recruitment project to support the formation of the 55th Executive and the staffing of Ministerial Offices.
We are seeking a highly organised Recruitment Coordinator to join the Election 2026 Programme Team and support the delivery of this critical recruitment workstream.
Working closely with the Recruitment Lead, you will play a key role in coordinating recruitment activities, managing candidate and stakeholder communications, maintaining recruitment systems and documentation, and ensuring recruitment processes run smoothly and efficiently. This is an exciting opportunity to contribute to a unique recruitment programmes in the public sector.
Key Responsibilities
As Recruitment Coordinator, you will:
- Support the delivery of the Election 2026 Recruitment Workstream and contribute to successful recruitment outcomes across the programme
- Coordinate the administration of the end-to-end Expression of Interest (EOI) process for internal and external candidates seeking employment within Ministerial Offices
- Manage candidate communications, including application acknowledgements, interview scheduling, assessment coordination, and outcome notifications
- Organise interviews, assessment activities, panel logistics, and recruitment events.
- Maintain accurate recruitment records, systems, databases, and programme documentation
- Assist with the development and maintenance of talent pools to support current and future Ministerial Office recruitment requirements
- Prepare recruitment reports, dashboards, and progress updates for programme stakeholders
- Support recruitment testing, process improvements, and day-one readiness activities
- Coordinate reference checking and other pre-employment activities as required
- Provide general administrative and coordination support to the Recruitment Lead and wider Election 2026 Programme Team.
About You
You'll be an organised and proactive coordinator with excellent attention to detail and a passion for delivering great recruitment experiences.
To be successful in this role, you'll bring:
- Experience in recruitment coordination, HR administration, or a similar support role
- Experience coordinating high-volume recruitment activities and managing competing priorities
- Strong organisational and administrative skills, with a high level of accuracy and attention to detail
- Excellent communication and relationship-management skills
- Confidence working with recruitment systems, databases, and Microsoft Office applications
- The ability to manage sensitive and confidential information appropriately
- Strong problem-solving skills and a willingness to take initiative
- The ability to remain calm and effective in a fast-paced environment with changing priorities
- A customer-focused approach and commitment to providing excellent service to candidates and stakeholders
- Experience working within government or the wider public sector will be advantageous
