Executive Assistant / Office Manager
About Volta
Volta is the category-defining, fully vertically integrated AI infrastructure platform – from capital to clusters to software, under a founder-led enterprise. Our mission is The Utility of Compute™: AI infrastructure as dependable and available as electricity, for every organization that needs it. Launched with a $10B strategic partnership with one of the leading frontier AI labs, a Series A led by Andreessen Horowitz, and a $5B AI Infrastructure Fund, Volta is building the infrastructure layer of the AI era from the ground up. We are 100+ people across London, Palo Alto, and New York, with rapid growth expectations to hundreds.
About the Role
This isn't a traditional Executive Assistant or Office Manager role. We're looking for an exceptional individual to become one of the most important operational hires in the company, working directly alongside both Co-Founders as a trusted partner who enables them to operate at their highest level while helping build the operational foundation of a fast-growing, venture-backed business.
You'll thrive in a fast-paced, high-pressure environment by anticipating needs before they arise, solving problems independently, and ensuring the leadership team stays focused on scaling the company. In addition to providing outstanding executive support, you'll oversee the day-to-day operations of our London office, creating a workplace that reflects the professionalism, culture, and ambition of the company.
This is a rare opportunity to work at the center of one of Europe's most ambitious AI infrastructure companies during a pivotal stage of growth, gaining unparalleled exposure to the leadership team while playing a key role in shaping how the business operates.
What You Will Be Doing
Provide dedicated day-to-day support to both Co-Founders, managing complex and constantly evolving calendars and priorities.
Coordinate domestic and international travel, accommodations, and detailed travel itineraries.
Schedule internal and external meetings, board meetings, and investor meetings, while preparing agendas, presentations, and briefing materials.
Track action items, ensure follow-ups are completed, screen incoming requests, and handle highly confidential information with the utmost discretion.
Oversee the smooth day-to-day operations of the London office, ensuring meeting rooms, facilities, and shared spaces are maintained to a high standard.
Manage office vendors, building management, budgets, purchasing, and office inventory.
Support employee onboarding logistics, equipment setup, and administrative processes across Finance, People Operations (HR), and Operations.
Plan and coordinate company meetings, leadership off-sites, team events, and hospitality to create an exceptional employee experience.
Welcome candidates, investors, clients, and external partners while delivering a professional and memorable visitor experience.
What You Bring
5+ years of experience as an Executive Assistant supporting founders, C-suite executives, or senior leadership teams.
Experience working in a high-growth startup, scale-up, or fast-paced corporate environment.
Exceptional organizational skills, strong attention to detail, and the ability to manage multiple senior stakeholders simultaneously.
Outstanding judgment, professionalism, and discretion when handling confidential information.
A proactive mindset, the ability to remain calm under pressure, and comfort managing constantly shifting priorities.
Excellent written and verbal communication skills, with confidence interacting with senior executives, investors, and external partners.
Extensive experience coordinating complex domestic and international travel as well as executive calendars.
Advanced proficiency with Microsoft Office and Google Workspace.
