We are now seeking a Site Administrator / Document Controller (m/w/d) to join our project team on a major construction project in Europe
This role is suited to someone highly organised, detail-focused and confident working in a fast-paced site environment.
The Role
You will support the site team by managing project documentation, maintaining document control systems and coordinating key site administration activities.
Proficiency in both Procore and Eida software systems is essential, as both platforms will be used daily to manage, issue, track and control project documentation.
Key Responsibilities
- Manage project documentation using Procore and Eida.
- Upload, issue, distribute and archive drawings, reports, technical submissions and project documentation.
- Maintain document registers, drawing trackers, workflows and approval records.
- Process RFIs, technical submittals, RAMS/method statements, QA documentation, commissioning records and reports.
- Track client comments, document status updates and workflow approvals.
- Support preparation of O&M manuals, as-built documentation and handover records.
- Assist with site office administration, visitor bookings, site access records and project trackers.
- Support weekly and monthly reporting by collating information from the site team.
- Maintain accurate records for safety documentation, briefings, delivery notes and compliance-related documentation.
- Support project close-out, archiving and handover activities.
What We Are Looking For
- Previous experience in document control, site administration or project administration.
- Strong working knowledge of both Procore and Eida is essential.
- Experience working in a construction, engineering, M&E, data centre, industrial or infrastructure environment.
- Good understanding of construction documentation, drawing registers and document workflows.
- Strong Microsoft Office skills, particularly Excel, Word and Outlook.
- Excellent organisation, attention to detail and time management.
- Clear written and verbal communication skills in English.
- Ability to work well with site teams, subcontractors and client representatives.
- A proactive, cooperative and solutions-focused approach.
