
Executive Assistant (12-Month FTC)

Please Note: This is a 12-Month Fixed Term Contract

The Executive Assistant will provide confidential and professional executive support to the Chief Financial Officer. To perform this role successfully, the individual is expected to handle highly sensitive and confidential information, while always exercising professionalism and discretion.
- Managing executives’ calendars and setting up meetings as requested
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
- Draft, review and send communications on behalf of company executives as requested
- Draft compelling PowerPoint presentations as required
- Take and circulate meeting minutes and follow up on action points agreed
- Preparation and populating of basic contractual documents such as NDAs and employment related documents based on a pro forma (training will be given as required)
- Answer and respond to phone calls as needed
- Prioritize emails and respond when necessary, and required
- Complete and submit expenses forms for the executives
- Coordinate travel arrangements
What do we need from you?
- Proven experience as an Executive Assistant, Personal Assistant or similar role, supporting a senior executive(s)
- Proactive, highly organized multitasker who anticipates executives needs and simplifies their day-to-day operations
- Outstanding organizational and time management skills
- Strong ability to build and maintain positive relationships with internal stakeholders and external partners, while representing the executives and organization professionally
- Excellent verbal and written communications skills
- Discretion and confidentiality
- Ability to thrive in a fast-paced, dynamic environment and manage multiple priorities
- High level of attention to detail
- Strong levels of IT skills including MS Office, Word, Excel and PowerPoint
