We have an exciting opportunity for a Fleet Administrator to join the team at U-Drive.

Reporting into the Fleet Manager, you will work a 40-hour week, Monday to Friday, and will be the first point of contact for our clients and supply chain. This is a busy, varied role in a fast-moving environment, and we are looking for a positive and friendly individual with genuine drive, a "can do" attitude and real pride in getting things right.

About the Role

  • Become the first and main point of contact for our clients, both external and internal
  • Communicating clear and accurate information to both clients and the supply chain
  • Proactively managing all fleet related incidents, providing assistance within individual service level agreements
  • Managing incoming telephone calls and email correspondence promptly and professionally
  • Managing, as part of the Fleet Administration team, routine servicing, inspections, MOT/Plate test and Road Fund Licence
  • Managing effectively, as part of the Fleet Administration team, all available resources
  • Liaising with the Insurance Team, Account Management Team and Sales Teams, identifying areas of improvement within the services being provided
  • Recording all activities within the fleet management software accurately and without delay

This is a permanent, full-time position working 40 hours per week, Monday to Friday. The role operates on a rotating shift pattern, with working hours falling between 7:00am and 6:00pm depending on the allocated shift.

Bank Holidays will sometimes be worked on a half-day basis, and any hours worked will be given back as TOIL to be taken at a later date.

Essential

  • Accuracy and attention to detail, with the ability to record and maintain compliance-critical information correctly first time
  • Excellent IT skills, including the use of MS Office, and a confident, accurate keyboard technique

  • Strong administrative and communication skills, both written and verbal
  • Confident in managing incoming telephone calls and email correspondence in a prompt and professional manner

  • Problem solving skills, with a willingness to take ownership of a task through to resolution
  • A quick learner, able to absorb new systems, processes and product knowledge at pace
  • Self-motivated and organised, with the ability to work on own initiative
  • An eye for improvement, identifying where a process is not working and raising it with the Fleet Manager
  • Honesty and openness, including the confidence to flag an error or a problem early
  • A supportive team player who listens, respects different perspectives and puts the team first

Desirable

  • Previous experience within vehicle rental, fleet administration or a comparable transport environment
  • Working knowledge of fleet compliance requirements, including MOT, plate test and Road Fund Licence
  • Experience of working to defined service level agreements
  • Experience of using a fleet or rental management system
