Salary range: $53,000 - $59,000/yr 

The Calgary West Central Primary Care Network (CWC PCN) is a non-profit organization committed to a healthier future. As a Primary Care Network, we work alongside hundreds of family doctors (our members) to support the patient-doctor relationship and provide programs and services at no cost to doctor or patient. 

As the Facilities & IT Administrator, you’ll be responsible for office administration and facility maintenance and coordination. You’ll also support our IT team with asset management and handling CWC PCN mobile devices. 

This is a short-term, temporary contract with an expected end date of Dec. 31, 2026, with the possibility of extension. This position is 100 per cent onsite at our Main Office, located at 5966 Centre St. S.E., Calgary.  

Responsibilities 

Main office administration 

  • Provide Main Office reception coverage.  
  • Screen and forward incoming calls and messages.  
  • Monitor email inboxes and respond to or forward messages as necessary. 
  • Arrange couriers, handle incoming and outgoing mail, and coordinate with overnight mail/courier services; drop off outgoing mail at nearby mailbox when needed. 
  • Assist in issuing and retrieving CWC PCN assets from incoming or departing employees. 

Facility maintenance and coordination 

  • Maintain inventory and purchase office supplies. 
  • Ensure the coffee-tea-water contract is executed and equipment maintenance is performed with vendors. 
  • Maintain the physical Main Office space, ensuring a safe, clean, professional, and functional environment. 
  • Oversee quality of service and coordinate the frequency and scope of cleaning and other maintenance related contracts/services with external vendors. 
  • If there is a delay in snow removal services, salt slippery walkways and shovel snow at the Main Office and the Primary Care Centre to maintain health and safety legislation. 
  • Coordinate essential services such as waste disposal, recycling, secure paper shredding and other related services. 
  • Coordinate the inspection and upkeep of CWC PCN facilities to determine the need for maintenance repairs or renovations (i.e., HVAC, mechanical, electrical, plumbing, carpentry, critical systems, etc.). 
  • Monitor parking requirements at Main Office. 
  • Conduct visitor and employee orientations to the facilities. 
  • Set up the multipurpose room for meetings and events. 
  • Issue and retrieve employee key fobs. 
  • Manage the alarm system codes for employees, including training and organizational support. 
  • Manage the video surveillance system, including assisting with incident retrieval and investigation, managing remote access controls, and ensuring regular system maintenance is conducted. 
  • Manage key inventory including access door, desk, and cabinet keys. 

 IT administrative support  

  • Serve as back-up support to the IT team, including user profile setup, adding new staff, removing departed staff, device management and deployment, training, documentation, and providing technical support. 
  • Act as the first point of contact for meeting room technology, office printers and video conferencing equipment troubleshooting, setup, and service scheduling. 
  • Support the IT department in coordinating various projects, tasks, and initiatives as assigned. 

Education: A post-secondary diploma or certificate in the area(s) of office administration, business administration, network system administration, and/or building and maintenance support is required.  

Experience: A minimum of five years’ work experience in office administration and building maintenance support is required. A minimum of five years’ experience with project management principles, document control, and implementation of programs is an asset.  

Technical: Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams). 

Background check: A clear Criminal Background check is required to start.  

CPR: A Basic First Aid certificate is required to start.  

Physical effort requirements: Frequent moderate physical effort is involved in this role. This may involve uncomfortable, awkward or restricted movement work positions; pushing; pulling; bending; crawling; climbing ladders; and lifting/moving/using objects or equipment of five - 20 kg/11- 44 lbs. At times, shoveling snow may be required.
