Role Purpose

The Professional Experience Coordinator - Education role provides operational and compliance support across the Swinburne placements portfolio. The role is responsible for delivering efficient, standardised placement processes, supporting government reporting and departmental compliance, and enabling effective stakeholder engagement across internal and external stakeholders.  
  
The role acts as a key interface between pre-placement and placement delivery teams to ensure a streamlined, consistent, and high-quality student experience across the placement’s lifecycle. The position contributes to continuous improvement initiatives to support scalable and compliant placement delivery.  

Key Responsibilities

Placements Operations & Process Excellence  

•        Support the end-to-end delivery of education placement processes in line with internal frameworks and regulatory requirements.  

•        Partner with pre-placement and placement delivery teams to streamline workflows and optimize the student experience.  

•        Support continuous process improvement initiatives to enhance efficiency, scalability, and quality outcomes.  

•        Placement processes delivered within agreed service levels and quality standards.

•        Positive students experience outcomes across the placement lifecycle.

•        Measurable improvements in process efficiency, consistency or scalability.

•        Placement documentation and process resources maintained and current.

Compliance, Reporting & Governance  

•        Support AOPF approvals and variations, ensuring compliance with accreditation and adherence to timelines.  

•        Ensure compliance with state-based placement requirements across multiple jurisdictions.  

•        Support government reporting and ensure alignment with departmental compliance requirements (e.g., NSW DET).  

•        Contribute to the ongoing improvement of the Claim for Payment process to strengthen efficiency and compliance.  

•        Maintain current knowledge of regulatory requirements, embed these into operational processes, and ensure clear communication with stakeholders 

Stakeholder Management & Engagement  

•        Build and maintain effective relationships across internal teams, including Student Operations, Finance, and Academic Teams both pre-placement, and placement delivery.  

•        Manage relationships with external stakeholders including universities, placement providers, and government bodies.  

•        Communicate complex requirements clearly and adapt messaging for different audiences.  

•        Influence stakeholders to support process improvements and operational initiatives.  

Systems & Data Management  

•        Maintain accurate records across CRM/database systems (e.g. Salesforce). Ensure data integrity to support reporting, compliance, and decision-making.  

•        Utilise system insights to inform operational priorities and process improvements.  

•        Procure, analyse, and manage data, ensuring systems can work effectively at scale. 

Technical Capability

  • Experience in education placements, operations, or program administration.  
  • Demonstrated experience managing placement approvals, compliance, and processes across multiple state jurisdictions.  
  • Strong understanding of government reporting and departmental compliance frameworks.  
  • Proven stakeholder management and influencing capability across internal and external environments.  
  • Excellent communication skills with the ability to translate complex information for different audiences.  
  • Strong analytical capability with a focus on continuous improvement.  
  • Experience working in process-driven environments with a focus on efficiency and quality.  
  • High diligence and ability to manage competing priorities.  
  • Experience using CRM/database systems (e.g., Salesforce).
