Facilities Coordinator
We are seeking an experienced Facilities Coordinator to join a busy property services team in Lower Hutt for a 3-month temporary assignment.
This is a fast-paced coordination role where you'll play a key part in ensuring maintenance and property-related work is scheduled efficiently, resources are allocated effectively, and customers receive a high level of service.
About the Role:
You will be responsible for coordinating operational staff and subcontractors, managing work orders, and ensuring jobs are delivered on time and in line with contractual requirements.
Key responsibilities include:
Receiving, assessing, and prioritising work order requestsScheduling and coordinating multi-trade maintenance and property worksLiaising with clients, tenants, tradespeople, and subcontractorsManaging schedule changes due to urgent jobs, weather, or staff availabilityMonitoring job progress and identifying risks to service deliveryMaintaining accurate job records, documentation, and compliance informationSupporting process improvements and promoting a strong customer service culture
About You:
Previous experience in scheduling, workforce planning, dispatch, coordination, or administrationExceptional organisational skills and the ability to manage multiple prioritiesStrong communication skills and confidence dealing with a range of stakeholdersHigh attention to detail and accuracyA proactive approach to problem-solving and prioritisationExperience using job management or scheduling systems is highly desirable
