
Project Coordinator
As part of the Java Group, Victor Energy’s staff have over 50 years of experience building some of Canada’s largest electrical infrastructure projects.
As our team grows and projects are beginning to take off, we are seeking a Project Coordinator to provide collaborative support for our project execution team.
The Project Coordinator is responsible for supporting the Project Manager by interfacing with applicable team members to deliver assigned projects. This role is responsible to continuously interface and coordinate with internal team members, clients, and other project stakeholders on a variety of tasks. This is a full-time opportunity based on a 40-hour, 5 day work week, adjusted to meet project demands over weekends. This position will start primarily based from home, with potential for field visits to construction sites.
Your responsibilities include:
- Provide execution and coordination support which include but are not limited to:
- Reporting – Monitor project progress and create project status reports for project managers and stakeholders. This includes data collection and verification as required.
- Project Delivery – Track project milestones ensuring deliverables are completed and meet project requirements, including assisting with resource scheduling.
- Meetings – Schedule meetings and facilitate communication between the project manager and stakeholders throughout the project life cycle and follow up on actions.
- Formal Communications – Manage project-related inquiries or escalations and provide formal responses in a timely manner.
- Schedule management – Develop, maintain and monitor project schedule and tasks.
- Cost management – Prepare reports and track costs including change request backup.
- Risk Management – Prepare, maintain and monitor risk register and gather updates.
- Documentation – Maintain project documents such as the project plan, budget, schedule or scope statement, as directed by the project manager.
- Additional Support – as requested by the project manager such as tracking status of quality documentation, financial information, etc.
- Assist with parsing and meeting project requirements from internal and external teams.
- Use of approved systems in alignment with company expectations.
- Promote a culture of health, safety, and environmental protection on the project.
Your background and credentials must include:
- Degree or certification in business administration, project management, or a related field
- 2 to 4 years’ experience in a fast paced administrative or coordinator role
- Utility construction experience is a strong asset, including working in a construction office at site
- Excellent interpersonal and communication skills and are confident interacting with key contacts at all levels in verbal, written and electronic form
- Exceptional eye for detail and organizational skills in a dynamic, multi-tasking environment
- Proficiency with Microsoft Office.
- Working knowledge of project management and/or scheduling software such as MS Project.
- Proven ability to understand construction administration and contract commercial terms
- Analytical skills and a logical, independent problem solver
- Ability to maintain a high level of confidentiality and professionalism
