Ko tōu ake mahi - What you’ll do

Join our team as a Workplace Coordinator in our Ellerslie office. This rare part-time opportunity is expected to run until December 2027, with flexible hours that can be worked across 3-5 days to suit your lifestyle. We're also open to discussing fewer hours for the right candidate.

This position plays a key role in ensuring the Ministry’s workplaces operate smoothly by connecting the right people and providing front-line customer service, administrative support, and facilities coordination, while helping deliver safe, efficient, and high-quality property and office services.

Key responsibilities:

  • Provide first-line support for workplace and office services enquiries from employees, visitors, and stakeholders via phone, email, and in person.
  • Coordinate facilities and office services activities, including contractor management, health and safety inductions, customer requests, and invoice processing.
  • Maintain facilities information and reporting systems, ensuring accurate data entry, documentation, records management, and reporting.
  • Support property and facilities projects, such as office moves, workspace reconfigurations, procurement activities, and process improvement initiatives.
  • Deliver excellent customer service and compliance outcomes by building strong relationships, supporting events, and helping uphold health, safety, security, and Treaty of Waitangi obligations.

  • Strong administration and computer skills, with the ability to manage multiple systems and processes efficiently.
  • Excellent relationship management skills, building positive relationships with internal and external stakeholders.
  • Knowledge of health and safety best practices and a commitment to maintaining a safe workplace.
  • Strong organisational skills, with exceptional attention to detail and the ability to manage competing priorities and deadlines.
  • A customer-focused, team-oriented approach, with a commitment to delivering high-quality service and continuously improving processes.

To help set you up for success, you'll spend approximately one week in Wellington at the start of your role, immersing yourself in our fast-paced environment, connecting with the wider team, and gaining valuable hands-on experience to take back to Auckland.
