Reporting to the Head of Procurement

The Chief Information & Transformation Office (CITO), Europe, leads technology, transformation, data and AI initiatives across Canada Life's European businesses. We are hiring a European Travel Coordinator and Business Support colleague to provide high-quality business support while ensuring efficient, compliant and cost-effective business travel across Europe. This role will act as a key point of contact for travel-related queries, reporting and risk oversight, working closely with senior leaders, Executive Assistants, global travel partners and internal stakeholders.

Specifically, as a successful candidate, you will:

Travel Coordination & Reporting

  • Produce accurate and insightful European travel reporting, including monthly booking trends, spend analysis, AMEX performance reporting and policy exception insights for senior stakeholders.
  • Act as the primary liaison for travel queries, VIP international travel support, AMEX and Concur issue resolution, escalating complex matters and ensuring timely follow-through.
  • Monitor travel policy compliance, offline booking usage, AMEX advisories and traveller risk data, identifying trends, risks and opportunities to improve processes and self-service.
  • Support traveller tracking and provide relevant reporting to European Risk and Security teams, including traveller locations, itineraries, high-risk destination exposure and concentration risk.
  • Administer the AMEX portal, including user set-up, deactivation, role and permission maintenance, data integrity and regular audit checks.
  • Lead clear communications to travel users, including updates on policy, tools, process improvements, FAQs and targeted compliance campaigns.

Business Support

  • Provide proactive business support to designated senior leaders, including diary management, meeting logistics, travel booking, expenses, document preparation and action tracking.
  • Support governance activities, including preparation of agendas, collation of meeting packs and minutes, and tracking actions through to completion.
  • Coordinate small events and internal engagements, such as team meetings, workshops, away days and town halls.
  • Maintain stakeholder records, contact lists and document management processes, while providing other administrative support as required.

What we are looking for

  • Proven experience in travel coordination, travel management, business support, Personal Assistant or Executive Assistant roles, ideally supporting senior leaders in a complex organisation.
  • Experience using corporate travel and expense tools such as Concur Travel and AMEX portals, with confidence managing queries, reporting, reconciliations and user administration.
  • Strong analytical skills and attention to detail, with the ability to interpret travel data, identify trends and produce clear reporting for senior stakeholders.
  • Excellent planning, organisation and time management skills, with the ability to manage multiple priorities, deadlines and stakeholder expectations.
  • Clear written and verbal communication skills, with the confidence to liaise with internal teams, suppliers, global travel partners and senior stakeholders across Europe.
  • A proactive, solutions-focused approach, with the ability to remain calm, discreet and professional when handling sensitive information or resolving issues.
  • Strong working knowledge of Microsoft Office, particularly Excel, PowerPoint, Outlook and Word.

Technical Competencies

  • Strong analytical skills with the ability to interpret travel data, identify trends and highlight risks
  • High level of accuracy and attention to detail, particularly in reporting, financial reconciliation and travel administration
  • Confident user of travel and expense tools, such as Concur Travel and AMEX portals, as well as Microsoft Office applications including Excel, PowerPoint, Outlook and Word.
