The Role
We are looking for a highly organised, analytical and detail-focused individual to join us as a Service & Operations Executive. Reporting to the Procurement Manager, the role will initially focus on procurement, stock control, reconciliation and client buybacks. The successful candidate will take ownership of assigned operational processes and work alongside the existing Service & Operations Executive, providing additional capacity and cover within the buyback function.
As a growing business, this role is suited to someone who is confident working with detailed data, identifying discrepancies and following actions through to completion. The role will also provide broader operational support as business requirements change, offering the opportunity to develop across different areas of the company.
Role responsibilities
- Process and track procurement orders and deliveries, maintaining accurate purchasing and transaction records.
- Complete regular stock checks and reconcile records across Salesforce, internal systems and third-party sources. Investigate, resolve or escalate discrepancies as appropriate.
- Support the processing and reconciliation of client buybacks from instruction through to completion, checking product, quantity, weight and supporting information.
- Produce and maintain Excel-based operational reports, trackers and exception analysis, highlighting risks and outstanding actions.
- Support routine supplier administration, including maintaining accurate and audit-ready supplier records and documentation.
- Complete product cost, premium and supplier order checks, escalating any unexpected differences.
- Support client orders, fulfilment queries and operational handovers.
- Liaise with suppliers, vaults, logistics partners and internal teams to progress orders and resolve operational issues.
- Provide support and cover across other operational workstreams and contribute to process, reporting and system improvements.
- Skills & Experience
- Highly proficient in Microsoft Excel, including pivot tables, formulas and working with detailed datasets.
- Strong numerical and analytical skills, with excellent attention to detail.
- Experience working with reconciliations, stock, orders, transactions or operational reporting.
- Able to identify discrepancies, investigate their causes and follow actions through to completion.
- Strong organisational and time-management skills, with the ability to manage recurring responsibilities alongside changing priorities.
- Proactive and comfortable taking ownership of assigned processes, while recognising when issues should be escalated.
- Strong written and verbal communication skills, with a flexible and collaborative approach.
- Experience using Salesforce, inventory, purchasing or order-management systems would be advantageous.
- Experience within precious metals, financial services, commodities or another high-value product environment would be beneficial.
Package & Working Arrangements
- Monday to Friday, 9 am – 5.30 pm (1-hour lunch break)
- £30,000 – £32,000 (dependent on experience)
- Generous, matched pension scheme up to 6%
